Ithaca College funds may be used for the reasonable and prudent entertainment
of its various constituencies. Following are suggested guidelines for
various categories of events. The provost or appropriate vice president
should approve any exceptions to these guidelines in advance.

Meals for recruiting and other College guests.

Up to two College representatives can accompany the College guest.
If a guest is accompanied by a spouse or companion, the College
representative may include his or her spouse or companion as the
second College representative.

Programs sponsored by recognized student organizations where refreshments
are an integral part of the program i.e., picnics, refreshments
at dances, speakers, pizza parties, etc. where money has been allocated
to the organizations for social programming.

A modest presentation of beverages and snacks appropriate for the
event may be provided.
|
|
Receptions associated with College events that are open to the
public such as concerts, exhibit openings and lectures.
|

Refreshments and meals for departmental, group, or employee development
meetings.

Modest refreshments are appropriate for meetings with a scheduled
duration of two hours or more. Lunches may be served when all day
sessions are planned, or the mid-day time slot is the only reasonable
time a group can meet.

Food and beverage associated with major functions that are normally
expected to occur during the year as part of the College's regular
activities. These events include, but are not limited to, Commencement,
Convocation, Friends' Dinners, Alumni Weekend, Homecoming, Summer
and Fall Orientation and the President's Hosts' dinner.

The extent of the entertainment will vary with the nature of each
event, but should reflect an appropriate balance of conventional
style in the offerings and prudence in the level of expenditure.

Recognition events for employees who are leaving or retiring, task
force or committee successes, and other primarily social events
for College employees.
|
Departments may host modest events of this nature and provide at
departmental expense a cake and an assortment of beverages appropriate
for the anticipated number of participants. Any additional food
or beverages are to be paid for by attendees. Schools and departments
are encouraged to hold group receptions if two or more people will
be leaving at approximately the same time, as in the case of at
the end of the academic year.
The College provides a gift to each retiring employee at the Annual
Service Awards Luncheon. Any other gifts provided are to be paid
for by friends and colleagues.

Due to the frequency and magnitude of potential events of this
nature across campus, College funds are not to be used to sponsor
receptions or lunches or to purchase gifts for students.
