Account Information

You may have seen the 21 digit account numbers used by Parnassus. The 21 digits are broken into 7 individual segments, all of which have meaning specific to a Department or Project. The 7 segments are separated by dots or periods(".") which make the accounts easier to read.

The 7 segments include:

  • Fund - 2 digits
  • Function - 2 digits
  • Division - 2 digits
  • Department - 3 digits
  • Subcode - 4 digits
  • User Code - 3 digits
  • Project - 5 digits

An example of a Parnassus account format is: 01.06.50.802.7319.000.00000.

Frequently Asked Questions

What subcodes are available in Parnassus?

Please review the list of subcodes in Parnassus using the Subcodes for Departments report.

How do I create a new account number in Parnassus?

Fill out and submit the New Account Form online. It will be submitted to Lynn Eastman in the Financial Services Office. Once your account is created, you will be notified.

How does Budget work in Parnassus?

When you use funds Parnassus will look at budget in three categories: salaries and benefits, capital and non-salary operating (NSOP) expenditures. All of the NSOP available funds will be totaled when verifying that there are sufficient funds for a purchase. This will make it easier to place orders during the course of the year. However, when a department runs out of funds, nothing will be able to be posted against the account until budget funds are moved in from another of your accounts.

Do we have to pick from all segment values or can we limit the List of Values to just the account segments we can access?

The List of Values (LOV) for each segment in your account is the complete list for the College. There is no way to limit the list to only the accounts you can access.

How do we enter dates in Parnassus?

Parnassus uses periods for dates. Periods include a month and year. For example 2/07 is February of 2007
You have a couple easy options: a. Type month / year and [TAB] in the field labeled "Period." Example: 2/07 [TAB]. This is the fastest way. b. Select your period from the grey box with the dots (List of Values) next to the period field
