Releasing Employee Information to Another Manager via MSS

Scope
This procedure covers releasing employee information to another manager via Manager Self-Service. This Manager Self-Service function will need to be used when an employee transfers or is promoted to a position in another department that is outside of the current manager’s direct reporting department(s). Once this step is completed, the new manager can then complete the Manager Self-Service transaction him/herself to place his/her new employee in the proper department, position, etc.
Policy
Except for New Hire and Termination Transactions, all Manager Self-Service transactions must have a pay period begin date for the effective date.
Manager Self-Service policy exists in conjunction with the Ithaca College Policy Manual. Refer to the IC Policy Manual for any additional policy questions.

Activity Preface
This activity is performed whenever one of your employees has transferred or been selected as the final candidate for another position outside of your direct reporting department(s).
You are responsible for submitting Manager Self-Service transactions for these types of personnel actions involving movement between departments that directly report to you.
Changes to employee records submitted via Manager Self-Service move through a workflow for approval. There is a time-delay as the transaction is processed. When the transaction has gone completely through the workflow, you will receive an email confirmation.

The job title Manager refers to:
- Manager Self-Service User
1. Access Manager Self-Service
Refer to Accessing Manager Self-Service [NAVHRI04]
2. Select “Release Employee Information to Another Manager.”

3. Select the Employee who is moving to another position out of your direct reporting department(s).
- Expand your list, if necessary, to see the employee who is moving from your direct reporting department(s).
- Click on the action icon for the Employee whose record needs to be released to another manager.

4. Enter the new manager’s last name in the Name field of the Grant Access region and depress the tab key.
If presented with a pop-up picklist, goto task #5. Otherwise, goto task #6.
5. Select the new manager’s name from the pick list by clicking on the Quick Select icon.

6. Release employee information to the new manager by clicking on the Grant Access button

7. Complete the release of your employee’s record to his/her new manager by clicking on the Submit button.

8. Click the Home hyperlink when you are finished.

You can continue to work with Manager Self-Service from the home page.
9. Click the Logout hyperlink to properly disconnect from Parnassus
