Dear 2010 NCUR Campus Coordinator,
Greetings from Ithaca, New York, the site of the March 31 to April 2, 2011 National Conference on Undergraduate Research. You are receiving this correspondence since you were listed in the 2010 NCUR database as a campus coordinator or faculty advisor, and we want to make you aware of a number of important changes to the abstract/registration software and the conference in general.
Based on feedback from previous NCUR conference sites, the abstract submission and registration system has been revised and updated for the 2011 conference. Please pay attention to the following changes that will impact campus coordinators:
E-mail addresses are used as the unique identifier for the abstract and registration system. As a result, all abstract submissions need to be made using the primary student presenter’s student e-mail address and password.
Important dates for the abstract submission process are:
- October 4, 2010, 9:00 a.m. -- Abstract submission system opens
- November 19, 2010, 5:00 p.m. -- Abstract submission system closes
- January 12, 2011 -- Notification of abstract decisions
Since e-mail addresses are used by the system as the unique identifier, all NCUR 2011 conference participants must register using their campus e-mail address and NCUR password. As a result, coordinators will not be able to register other people using the coordinator’s e-mail address and conference password.
Important dates for the conference registration process are:
- January 12, 2011, 9:00 a.m. -- Registration system opens ($185/person)
- February 18, 2011, 12midnight -- Regular registration system closes/late registration system ($225/person) opens
- March 4, 2011 -- Late registration system closes
Payments can be made on-line by Master Card or VISA. In order to pay the registration fee by credit card, you might want to have your participants complete their registrations with you present.
Registrants can also request that their campus coordinator be invoiced for the NCUR 2011 registration fee. In order to request an invoice, participants will need to enter the name, official e-mail address, phone number and mailing address of their coordinator. We will send invoices on a weekly basis. If you would like to have all of your participants included on one invoice, please coordinate registrations appropriately. Otherwise you will likely receive multiple invoices for the 2011 conference, which can be paid with one check.
Presenters will only appear in the printed program if they have paid their registration fee or had an invoice sent to their school by March 9, 2011. Presenters who pay after this date may be accommodated on site, but will not appear in the official program.
T-shirts, Excursions and Host Event
For NCUR 2011, we have created an “extras store” where registrants can purchase the conference t-shirt, sign-up for an excursion and/or the host event. All payments for these items must be made via credit card. Participants can pay for their own “extras,” or payment can be made with a campus purchasing card.
The 2011 NCUR conference will take place from Thursday, March 31, 2011 through Saturday, April 2, 2011. If you are coordinating travel for your participants, please make sure that all travel plans account for the start and end dates of the conference. Special requests for session scheduling will not be possible for NCUR 2011.
