3.3 The Hiring Proposal: Documenting the Recruitment and Selection Process

All recruitment and selection procedures must be carefully and completely documented. Reasons for selecting one candidate over others should be made as explicit as possible. All criteria must be applied equally to all candidates. Only qualifications that actually pertain to the ability to perform the job in question should be considered. A Recommendation for Hiring must be completed online and approved for all positions prior to the job offer.

Because all application materials are accepted through the on-line application process, there is no need for the department to store applications, resumes or cover letters, as the documents requested at the time of application are stored on the system. Documents separately acquired such as references, teaching evaluations, samples of work, etc. must be retained for at least three years.
