Show Logistics

Date: Thursday, March 26th, 2026 
Time: 9:00 AM - 3:00 PM (Seminars and Vendor Showcase is open continuously during this time) 
Location: Ithaca College Campus Center - Emerson Suites. 
Parking: Parking lots will be identified throughout campus, and shuttles will be provided. 

Vendors will have two options to setup their booth at this years event: 

• Wednesday, March 25th from 4-8 pm (night before event) 
  **Overnight room security will be provided.
• Thursday, March 26th from 7:30 AM - 8:30 AM (day of event) 

Government-issued photo identification will be required for all personnel entering the show setup area prior to 8:00 AM on March 26th 

Follow signs to the Campus Center - U LOT and pull up in front of the building. Staff may be there to assist you and ALL vehicles MUST be moved to designated parking areas once unloaded. 

Ithaca College cannot store large boxes/pallets/ storage crates while the showcase is in session. Please return these items to your vehicles. 

We Will Provide

• 1 electrical outlets for each table.
• Tablecloth
• General show publicity
• Free, shared Wi-Fi
• Overnight monitoring of Vendor Showcase Room.
• Show program

You (the vendor) will provide

• All necessary equipment, power cords and extension cords
• Setup, breakdown, and moving of your own equipment, although some students may be available to give you a hand
• Minimum of one representative at the booth throughout the show between 9 AM-3 PM

If you wish, you may send flyers, booth parts, etc., to us in advance of your arrival and we will have them waiting for you at your booth on Wednesday evening. Send items to:

• Important: The vendor name must appear prominently on all packages. Please allow enough time so that your shipments arrive here no later than 10 AM, Tuesday, March 24th. Due to our central receiving procedures, shipments received later than that will NOT make it to the show floor until in time.

You are responsible for arranging for the breakdown and removal of all material from the show floor and Ithaca College. We do not have room to store large pallets or boxes that items are shipped in. Removal from campus must be completed no later than 5:00 PM on Thursday, March 26th, the day of the show.

If you need to ship any items AFTER the event, you MUST have pre-printed shipping labels or bills of lading. You are in charge of packaging equipment for shipment. Ithaca College will NOT be responsible for providing supplies. 

All freight shipments will be picked up from IC Warehouse beginning Friday, March 27th, 2026, during our normal warehouse hours. 7:30 AM - 4:00 PM. 

Non-freight items will be picked up from Emerson Suites Thursday, March 26th, 2026, at 4:00 PM.
