2026 Vendor Rates & Information

The vendor showcase will run from 9 AM to 3 PM. All booths must be staffed and maintained during the entire event.

Early Discount

There is a discount on the booth fee that ends at 11:59 PM ET on January 16, 2026.

Registration Deadline

The registration deadline is 5 PM ET on Monday, February 9, 2026. Please note that we often sell out of space before this deadline.

Booth Space

Space is allocated in "table" units, which cnosist of a 6' x 2.5' table with walking space in front. 

A free-standing "pop-up" or similar booth requires at least 2 standard booths placed end-to-end and must fit completely in-side the space purchased. You are responsible for ensuring the space purchased is adequate. No space is available behind or at the sides of the table. 

Each table includes a tablecloth and access to one outlet on a shared power circuit. 

You are contracting for an amount of space, not a specific location. While we will attempt to honor location requests, the specific placement within the showcase is at the sole discretion of Ithaca College. We cannot guarantee a specific booth location

Wired Network Connection(s)

Guest Wi-Fi is available to vendors (free) to use with no authentication. 

If a vendor has a need for a wired connection, please email edtechday@ithaca.edu before February 9th, 2026. There is an additional $500 fee for wired connection. 

Wireless SSID will be provided day of the event. 

Program Advertisement

The show program will be available at the event providing you with great exposure to your key potential customers. 

Program ad space is limited and will be allocated in the order in which we receive the registration forms.

 You must supply us with a high-quality PDF file of the ad (no JPEGs) by February 9th, 2026.

Seminars

Interested in Presenting at this year’s Ed Tech Day?

Register for a seminar spot during vendor registration and provide an overview of your desired presentation. If you are not a vendor, please reach out to edtechday@ithaca.edu to reserve a seminar spot. The awarding of seminar slots between 9-3pm during this event is competitive and is at the discretion of the Ithaca College Educational Technology Day Committee on the awards of the slots.

Pricing:If selected, seminar slots are free to vendors who have a booth in their name in the vendor showcase. If a vendor does not have a booth, there is a $1,000 speaking fee per selected seminar.

Criteria:We want a mix of sessions that will appeal to the show’s diverse audience: students, faculty, IT and non-IT staff, local businesses, K-12 and Higher Ed.

Seminar Registration Ends: February 9th, 2026. 
Final Presenter Bio and Abstract of Presentation due February 13, 2026. 

Box Lunch


Through the registration process there are two ways to purchase meals. We will supply a voucher that day for you to claim your meal. There are options to purchase meals and drinks outside of the registration process.

We will offer the following meals to be purchased through the registration process: 

Vendor Boxed Lunches: $15.00 Each
• Turkey Sandwich - Includes Sandwich, Water, Chip and Cookie 
• Vegetarian Wrap - Includes Sandwich, Water, Chip and Cookie 
• Italian Sandwich - Includes Sandwich, Water, Chip and Cookie 
• Grilled Chicken Caesar Salad - Includes Salad, Water, Chip and Cookie

Ed Tech Day Concession Meal Ticket: $15.00 Each
• Pulled Pork Lunch - Includes Salt Potatoes, Cole Slaw, Cookie and Water 
• Soup and Salad Combo Meal - Includes Salad, Soup (Broccoli Cheddar), Chips, Cookie and Water

Other: 
Campus Food Court, Ithaca Bakery, and Campus Center Cafe are all located throughout the Campus Center also for your use. You will need to order and purchase through the GrubHub App or the GrubHub kiosk at each location.

Snack bar (convenient store) is located downstairs from the registration desk next to the bookstore for additional food or drink purchases.

Payment Terms

Payment must be made via credit card. Vendor registration is not complete until your payment has been processed.

Refunds will not be provided for cancellations after February 9, 2026. All fees will remain payable in full. 
Ithaca College reserves the right to reject or accept any Vendor Registration at its sole discretion.

Terms and Conditions

Damages or Loss of Property. Ithaca College, including its employees, agents, and affiliates, shall not be responsible for loss or damage to any property in storage, in transit to or from the campus and the event building, while in any campus building, or for any loss of income as a result of any reduced sale due to such loss or damage. All vendor property will be deemed to remain under the vendor's care, custody, and control while in storage, in transit to and from, or within the confines of the event building(s), even though at times it may at times be left outside of the vendor's direct control and/or in spaces controlled by the College. 

Indemnity. Each vendor must agree to indemnify and hold harmless Ithaca College from any and all liability, loss, damage or expense resulting from the vendor's negligence or other misconduct. 

Insurance

Vendors are encouraged to insure their exhibits, personal property, merchandise and display material against theft, fire, etc., at their own expense. Vendors are advised to contact their own insurance broker(s) to obtain all risk insurance covering exhibit property while absent from home premises for exhibit purposes, or a rider to the exhibitor's existing policy covering same. 

Under 18/Minors

Pursuant to Ithaca College policies, including the Protection of Minors Policy, vendor participating in Ed Tech Day are not authorized or permitted to engage in one-on-one contact with any individual who is a minor (under 18) at any time while on college property.
