2020 Vendor Rates & Information

The vendor showcase will run from 9 AM to 3 PM. All booths must be staffed and maintained during the entire event.

Registration Information

New for Ed Tech Day 2020 are two ways to purchase a vendor space:

  1. Via new bronze, silver, gold or platinum booth packages which represent the best value and include the booth, lunch, ad and a number of other features, many only available as part of a package, or
  2. As in past years via an ala carte selection of booth and add-on options.

Early Discount

There is a 10% discount on the booth fee that ends at 11:59 PM ET on Friday, January 17, 2020.

Registration Deadline

The registration deadline is 5 PM ET on Monday, February 10, 2020. Please note that we often sell out of space before this deadline.

Booth Space

Booth layout and space allocations for this year are shown on the Showcase Layout Page. Space is allocated in “table” units, which consist of a 6' × 2.5' table with walking space in front. Each table includes a white tablecloth and access to two outlets on a shared power circuit.

You are contracting for an amount of space, not a specific location. While we will attempt to honor location requests, the specific placement within the showcase is at the sole discretion of Ithaca College. We are not able to guarantee a specific booth location, unless indicated as part of the booth packages.

Booths are limited. If we are unable to place you in your booth size of choice, we will try to accommodate your request as best as possible and adjust your fee accordingly. The earlier we receive your registration form the better our chances are of meeting your booth size requests.

Only one booth can be purchased per vendor. After February 10th, additional booths may be purchased if still available.

Booth Packages

Bronze Exhibitor

The Bronze Exhibitor booth package costs $1,100, or $990 with the early discount*. It includes:

  • Single 6' table
  • ¼ page advertisement
  • 2 boxed lunches, with the choice between a chef salad and turkey sandwich
  • Your organization will be noted in the program and linked on our Ed Tech Day Website
  • A guaranteed spot in our Career Expo if you would like to participate (optional)
  • Social media shout out
  • Your organization's logo will be featured in the slideshow that is displayed in the showcase area

Silver Exhibitor

The Silver Exhibitor booth package costs $2,500, or $2,250 with the early discount*. It includes:

  • Double table (two side-by-side 6' tables)
  • ½ page advertisement
  • 2 boxed lunches, with the choice between a chef salad and turkey sandwich
  • Your organization will be noted in the program and linked on our Ed Tech Day Website
  • A guaranteed spot in our Career Expo if you would like to participate (optional)
  • Preferred location in the showcase
  • Social media shout out
  • Your organization's logo will be featured in the slideshow that is displayed in the showcase area
  • Able to have an item or brochure placed in our new Give-A-Way bags (1,000 items provided by you)
  • A small logo placed on Give-A-Way bags
  • Opportunity to have your booth included in our Scavenger Hunt, driving traffic to your booth

Gold Exhibitor

The Gold Exhibitor booth package costs $7,500, or $6,750 with the early discount*. It includes:

  • Large 9' × 12' booth
  • Full-page black-and-white advertisement
  • 4 boxed lunches, with the choice between a chef salad and turkey sandwich
  • Wi-Fi and wired network connections
  • You will receive a copy of the registration list after the event with contact information
  • 2 preferred parking passes (must arrive by 8:30 AM, no in/out privileges)
  • Your organization will be noted in the program with a logo and linked on our Ed Tech Day Website
  • Your organization logo will be located on the program cover
  • A guaranteed spot in our Career Expo if you would like to participate (optional)
  • Choice location in the vendor showcase
  • Social media shout out
  • Your organization's logo will be featured in the slideshow that is displayed in the showcase area
  • 1 seminar spot guaranteed
  • Your organization's logo will be listed on the entrance banner to the showcase area
  • 1 2'×2' floor decal
  • Able to have an item or brochure placed in our new Give-A-Way bags (1,000 items provided by you)
  • A large logo placed on Give-A-Way bags
  • Opportunity to have your booth included in our Scavenger Hunt, driving traffic to your booth

Non-Package Table Options

Single Table

A single table is $750, or $675 with the early discount†. It features one 6' long table or equivalent 6' long area with minimal space in front. There is no space behind the table.

Double Table

A double table is $1,500, or $1,350 with the early discount†. It features two end-to-end 6' tables or equivalent 12' long area with minimal space in front. There is no space behind the tables.

Large Booth

A large booth is $3,000, or $2,700 with the early discount†. It is an approximate 9' wide × 12' deep area. Booth entry from 9' side of the area. Includes 3 tables arranged in an "L."

  • In addition to the above options, we have one Platinum sponsor package available which provides the equivalent of more than 2 large booths and other benefits. Please contact us for details.
  • A free-standing "pop-up" or another type of booth requires at least a Double Table or larger space and must fit completely inside space purchased. You are responsible for ensuring the booth space purchased is adequate.

Wired Network Connection(s)

  • Shared WiFi service is available at no charge throughout the exhibit hall.
  • If you prefer a wired connection, there is a flat fee of $500 for up to 4 wired network connections.

Please note, routers, hubs, switches, DHCP servers, wireless access points, and other similar devices will not be permitted to be connected to our network. Ithaca College reserves the right to immediately and without notice disconnect any device suspected of interfering with wired or wireless network performance. Additional restrictions and requirements will be provided at check in. If you require a non-standard firewall port, please let us know at least 2 weeks in advance. We cannot guarantee that we will be able to accommodate your request.

Program Advertisement

The show program will be available at the event providing you with great exposure to your key potential customers. Program ad space is limited and will be allocated in the order in which we receive the registration forms. You must supply us with a high-quality PDF file of the ad (no JPEGs) by Monday, February 11, 2020.

  • ¼ Page - Exactly 4¾" tall × 3½" wide - $300
  • Half Page - Exactly 4¾" tall × 7½" wide - $450
  • Full Page Black and White - Exactly 10" tall × 7½" wide - $750
  • Full Page Color - Exactly 10" tall × 7½" wide - $1,000

Seminars

If you would like to present a seminar at Ed Tech Day, please complete the Vendor Seminar application by February 10, 2020.

  • The awarding of seminar slots is competitive. A limited number of 50-minute seminar slots are available and will be allocated at the discretion of Ithaca College.
  • Seminar costs: If selected, seminar slots are free to vendors who have a booth in their name in the vendor showcase. If a vendor does not have a booth, there is a $750 speaking fee per selected seminar.
  • Criteria: in selecting seminars we will consider the subject matter and overall mix of seminar topics for the show. We will look for a variety of technical and broader issues sessions. We want a mix of sessions that will appeal to the show’s diverse audience: students, faculty, IT and non-IT staff, local businesses. Historically, the best-attended sessions are ones that discuss the use or application of technology (such as in the classroom, security, etc.), as opposed to focusing on a specific product.
  • You will be notified via email by February 25 about the status of your seminar application. Seminars may be scheduled anytime between 9 AM and 4 PM at the discretion of the College.

Career and Internship Expo

Now in its second year, the Ithaca College Information Technology department will again partner with the College’s Office of Career Services to include a Career and Internship Expo as part of Ed Tech Day that will offer students and visiting professionals the opportunity to explore career opportunities with various technology leaders.

The Career and Internship Expo will be located in the lobby area of the Campus Center, the same building as the Ed Tech Day Vendor Showcase. Recruiting tables will be available from 10 AM until 12 PM, and from 1 PM until 3 PM that are being offered to vendors that are participating in Ed Tech Day at no cost. Vendors sponsoring at the Bronze, Silver, Gold and Platinum levels will be given priority to participate in the Career and Internship Expo.

Finger Lakes Faculty Developers Network Luncheon Sponsorship Opportunity

This sponsorship opportunity will provide the sponsor the opportunity to have lunch with academic development leaders from throughout the upstate NY area. The vendor will be provided with a brief window where they can address the attendees.

Box Lunch

Box lunches are available by pre-order only. Each sandwich box includes a sandwich, chips, fruit, cookie or brownie and a beverage. Chef Salad includes a drink. Due to a large number of lunches ordered, no substitutions or modifications are permitted. Pre-ordered box lunches will be delivered to your booth between 11:00 AM and 12:30 PM. There is also a cash snack bar located downstairs from the showcase floor if you prefer.

Payment and Term

Complete the Vendor Registration online. Payment must be made by credit card. Vendor registration is not complete until your full payment has been processed.

  • Applications received after February 10, 2020 will be accepted as space permits and if accepted, may be assessed a $100 late accommodation fee.
  • Refunds will not be provided for cancellations after February 10, 2020. All fees will remain payable in full. Ithaca College reserves the right to reject or accept any Vendor Registration at its sole discretion.
