HOW TO RECEIVE MAIL

To ensure correct delivery to departments on campus, mail should be addressed to an individual recipient, or the name of the department which should receive the item. Follow the below examples:

NAME of RECIPIENT-RECIPIENT'S DEPARTMENT- 953 Danby Rd-Ithaca NY 14850

OR

NAME of DEPARTMENT- 953 Danby Rd- Ithaca NY 14850

  • To ensure accurate and timely deliveries by Mail Services, Departments and Employees are strongly encouraged to keep their directory information up to date.
  • Items received with recipient information that is inconsistent with the college's directory will be delivered according to the directory.
  • Items received without clear recipient or departmental information is undeliverable and is subject to return to sender

HOW TO SEND MAIL

All postage and shipping charges for departmental packages are charged back to the sending department

The classifications which define what is and is not a package are regulated by the US Postal Service. IC Mail Service processes all mail and packages according to those regulations, in addition to the requirements of UPS, FedEx, and DHL. All postage and shipping fees are calculated according to each carrier’s services and regulations. Mail Service charges back all associated costs to the sending department.

How do you know if what you’re sending is a PACKAGE?

  • Does your item weigh more than 13 ounces? (rounded up)
  • Is your item larger than 12” x 15” and ¾” thick? (rounded up)
  • Does your item contain lumpy or bulky objects? (such as pens, paperclips, clamps, keys, etc)
  • Is your item rigid and un-bendable, or marked DO NOT BEND?
  • Are you using official USPS, UPS, FedEx, or DHL -branded mailing/package material?
  • Does your item need to be sent with guaranteed NEXT DAY, or 2-DAY or any other date-certain delivery?

IF YOU SAID YES TO ANY OF THESE, THEN YOUR ITEM IS A PACKAGE AND REQUIRES A SHIPPING DOCUMENT (SEE BELOW).

If you’re not sure, assume it IS a Package. Or (better) contact us and let us help you prepare your item correctly.

Which Shipping Document should you use?

  • Is this item staying within the US?

  • Is this item being sent to another country?

    Use the International Shipping Document (download PDF here ; instructions are on the form)

If an item without a shipping document is found in the outgoing pickup at a department’s mail stop, Mail Service will leave the package until a Shipping Document is attached (our carrier will try to notify the department verbally or in writing).

If an item without a shipping document is dropped off at a the Mail Center, our staff will request a Shipping Document be completed before acceptance of the package.

Employee Personal Mail and Packages

The Campus Mail delivery system is reserved for Ithaca College business and only those students and employees who live in campus housing.

  • Personal mail and packages belonging to Staff or Faculty (except those employees living in campus housing) should never be addressed or delivered to Ithaca College. Items received by Mail Service that appear to be personal will be flagged and held at the Mail Center, and the recipient will be notified. If the recipient confirms that the item is for college business, it will be redirected for departmental delivery. Flagged packages are subject to Return to Sender if no response to notification is received.
  • Need to purchase shipping for personal items? We can help with that! You can download our personal Shipping Form here (PDF) - Bring this with your package to the Shipping Window near the Campus Store. Shipping fees are calculated with this completed form and your package weight, dimensions, and carrier. Only credit cards are accepted. The Mail Center does not do personal shipping anymore, unless the Shipping Window is closed (like for breaks and between semesters). However, all pre-paid mail and packages can be dropped at either the Shipping Window or the Mail Center during regular hours. No forms required for pre-paid items.

  • Please write your department name above the return address on outgoing mail.
  • Please provide a TRACKING NUMBER when calling about a package.
  • Intra-campus envelopes should be addressed with a name AND the department the person works in, NOT their office location. We deliver to departments.
  • Intra-campus envelopes are not to be used when sending information to students.
  • All outgoing department packages require a shipping document.
  • International mail containing more than just documents requires a customs form.
