Plan Confidently. Host Safely.

The Event Risk Assessment process helps ensure campus events are safe, well‑planned, and supported with the right resources. By identifying potential risks early, we can work with you to address concerns, connect you with campus partners, and keep your event on track.

To conduct a risk assessment for a proposed event, complete the Event Risk Assessment form at least 30 days before your event. Please provide comprehensive descriptive responses to expedite the review process. Risk Management and Public Safety will review your event details and connect with you, if needed.

Tip: If there is an agreement or contract associated with this event it is important that you review the Ithaca College Contract Policy.

Stakeholders for an event may include:

  • Event organizers
  • College Staff
  • Students
  • Volunteers
  • Service providers e.g.: catering, amusement device owners /operators
  • OPS (Office of Public Safety) for parking and security.
  • Facilities (re: services, maintenance, rubbish/waste removal and cleaning.)
  • CES (Conference and Event Services for booking spaces on campus, food, technology needs, etc.)

Proactive planning helps ensure that nothing is left to chance. By using a systematic process to identify, assess, and manage risk, event organizers can eliminate or minimize potential hazards for both the event and its participants. It is important to remember that every event is unique—factors such as the type of event, the number of attendees, and the activities involved all affect risk. Effective planning begins well in advance and prioritizes safety throughout the entire event, including setup and dismantling.

Tip: The following may require additional review time.

  • Events with Food or Alcohol
  • Events Involving Minors
  • Events Involving Animals
  • Off‑Campus or Travel Events
  • Third‑Party Vendors & Contracts
  • High‑Attendance or Public Events
