Follow these steps to secure approval for your production. Do not begin filming until you receive final confirmation from the Dean’s Office.
1. Submit Your Request: Complete the appropriate online Media Production Form.
- One Form per Production: Use a single form for up to 5 locations by using the location toggle.
- Prop Details: You must check the box for all props used and provide specific details for their use at each location.
- Activities: Provide detailed descriptions of all activities to minimize follow-up questions and delays.
2. Faculty & Dean Review
- Faculty Review: Your professor will review the submission for initial approval, followed by the Dean's Office.
- Documentation: Upload all external documents (permits, insurance requirements, or contracts) to your form.
- Pro-Tip: If you are waiting on shoot details but already have location documents, send them to the Dean’s Office immediately to start the review process .
- Signatures: Students are not permitted to sign contracts or permits on behalf of the College. The Dean is the only authorized signatory.
3. Specialized Reviews - Depending on your request, additional approval may be required from:
- Public Safety & Risk Management: Required for certain props, high-risk locations, or complex content.
- Natural Lands: Please refer to the rules/guidelines for any shoots involving the Natural Lands .
- Legal Affairs/Risk Management: For any contracts or "Additional Insured" insurance requests.
4. Final Confirmation
Once all reviews are complete, the Dean’s Office will email your approval. This may include specific requirements or safety guidance that must be followed during production.
High-Risk Locations & Content
Certain locations and activities carry higher risks and require vetting by the Office of Risk Management and Public Safety.
- Prohibited or Restricted Areas: Applications for shoots on rooftops, on or in water, involving aircraft, or near active train tracks/railroads are generally not approved.
- Public Spaces: If your location includes municipal property (sidewalks, public streets, or parks), you must secure a permit from the local municipality in addition to the property owner’s permission.
Prop Usage & Safety
You must disclose all props for your entire production, the following props require a detailed Safety Plan:
- Weaponry: Prop guns, daggers, swords, or knives.
- Atmospherics & Effects: Fire, special effects (SFX), blood/gore, or loud noises/explosions.
- Vehicles & Tech: Drones (Small Airborne Objects), moving vehicles, or stunts.
- Living Subjects: Use of animals or minors.
Submission Tip: For each prop, describe exactly how it will be used at that specific location. If a scene involves choreographed fighting or simulated violence, your instructor must review the script and approve the safety protocols before you submit your request to the Dean’s Office.
